What does an AI agency do?
A serious AI agency does not sell you a chatbot and leave. It studies how your company works, finds the repetitive tasks where time or money is lost, and connects AI models to your systems so those tasks run on their own or with a person approving. The result should be a process that runs every day, not a nice presentation.
In Puerto Rico that almost always means working with what is already there: QuickBooks for accounting, WhatsApp for talking to customers and Excel for nearly everything else. A good agency adapts to that ecosystem instead of asking you to replace it.
When does hiring one make sense?
Repetitive work eats up hours
Entering invoices, answering the same questions, moving data between systems, preparing the same report every week.
Information is scattered
Some of it in email, some in Excel sheets and some in the head of one key person.
You grew and the team cannot keep up
Hiring more people for mechanical tasks is no longer the only way out.
You want to use AI and do not know where to start
Then the first step is a diagnosis, not a big project.
If your operation does not yet have clear processes, AI will not invent them for you. In that case an AI readiness assessment tells you what to put in order first and what can wait.
What to ask an agency before you sign
Which of my processes will you improve, and how do we measure it?
If the answer is vague, the project will be too.
Which of my systems does it connect to?
Ask them to name your tools and explain how they integrate.
Who supervises what the AI does?
Someone on your team should be able to review and approve what matters.
What happens to my data?
Where it is stored, who has access and whether it is used to train models.
What do I keep when the contract ends?
Documentation, access and the ability to keep operating without depending on them.
Do you work in Spanish?
Your team has to understand what is being built and be able to ask for changes in its own language.
How much effort and time it takes
Beyond the budget, effort is measured in your people’s time and in calendar weeks. A serious diagnosis usually takes a few weeks and includes conversations with the people who do the work, not only with management. When the chosen process is well defined, the first automation in production is measured in weeks, not months.
On your side, expect someone who knows the process to spend a few hours a week answering questions, testing and approving. Without that time, no provider can deliver something people actually use.
What to have ready before the first meeting
Your heaviest processes
The ones that take the most hours or cause the most errors, even as a short list.
Who runs each system
QuickBooks, the point of sale, Google Workspace or Microsoft 365: who holds the keys.
Real examples
Invoices, emails, Excel sheets and messages that show how it is done today.
One accountable person
Someone on your team who makes decisions and follows through.
Red flags
They promise results without knowing your operation
Nobody can guarantee savings before seeing how you work.
They ask you to replace all your systems
Most of the time it can be integrated with what you already have.
Nobody approves what the AI does
An AI acting alone on customers or money, without supervision, is a risk.
Everything is a demo
Ask to see something working with data similar to yours.
They give you no access or documentation
If only the provider understands the system, you depend on them forever.
What the first weeks look like
Diagnosis
Talk with the people who do the work, review the systems and choose one process with a clear impact.
Design
Define what the AI does, what a person approves and how the result is measured.
Build and test
Connect it to your tools and test it on real cases alongside your team.
Go live
The process starts running, gets adjusted based on the first days and is documented.
How it works with the tools you already use in Puerto Rico
Most companies in Puerto Rico run on a similar mix of tools. An AI agency that knows the island should be able to work with all of them without asking you to abandon any.
QuickBooks
Reading invoices and payments, reconciliation and alerts on overdue accounts.
WhatsApp
Answers to frequent questions and order capture, with a person handling the sensitive cases.
Excel
Sheets that are filled in by hand today can feed themselves or become an automatic report.
Point of sale
The day’s sales reconcile with inventory and accounting without copy and paste.
Google Workspace and Microsoft 365
Emails, calendars and documents are sorted, summarized and filed where they belong.
How Evolving Space Labs works
Evolving Space Labs offers AI readiness assessments, AI strategy, automation and integration, custom software development and agent operators. We work across Puerto Rico and the United States, remotely and with on-site time when the project calls for it. If you would rather start with a diagnosis, the AI readiness assessment is the way in.
